Scan to BIM, Explained for Building Owners and Managers

What is scan to BIM?

Scan to BIM is the process of capturing an existing building with 3D laser scanning or drone mapping, then using that data to build an accurate digital model in Building Information Modeling software such as Autodesk Revit. The output is a model of the building as it actually stands today, built from measured reality rather than redrawn from old plans.

Most buildings drift away from their original drawings over the years. Walls get moved, ceilings fill with new ductwork, tenants renovate, and records go missing. Scan to BIM closes the gap between what the paperwork says and what is really there. The industry calls the result an existing conditions model, and it becomes the working reference for everything that follows.

For owners and managers, the value is practical. Every decision about a building, from a renovation budget to a lease plan to an insurance claim, is only as good as the information behind it.

When does a building owner actually need scan to BIM?

Not every building needs a model. Scan to BIM earns its cost in four common situations.

If capital work is planned within the next two or three years, it usually pays to scan before design begins rather than discovering problems during construction.

  • Renovations and retrofits. Designers and contractors need reliable existing conditions before they draw anything. An accurate model reduces surprises, change orders, and rework once construction starts.
  • Outdated or missing drawings. Many buildings have drawings that no longer match reality, or no usable drawings at all. A scan based model becomes the new single source of truth for the property.
  • Facility handover. When a building changes hands or a new facilities team takes over, a verified model records the asset in its true state and gives the incoming team something dependable to work from.
  • Due diligence. Buyers, lenders, and insurers want verified floor areas and documented conditions. A measured model supports valuation and reduces risk in a transaction.

How does the scan to BIM process work?

A well run project follows five stages. Each stage has a clear output that feeds the next, and each is a natural checkpoint for you as the client.

Insist on seeing the quality assurance stage in any proposal you review. A model that was never checked against the point cloud is just a drawing with extra steps.

  • Scoping. You and the provider agree which areas to capture, which building systems to model, the level of detail, and the file formats to deliver. This step sets most of the cost, so it deserves real attention.
  • Site capture. Technicians scan interiors with terrestrial laser scanners and capture roofs and exteriors with a drone where needed. Capture is fast, quiet, and works around occupants, so most buildings stay fully operational.
  • Point cloud registration. The individual scans are stitched into a single point cloud, a dense 3D dataset made of millions of measured points. This cloud is the factual record of the building.
  • Modeling. Modelers build the BIM elements, including walls, floors, structure, doors, and mechanical systems, directly over the point cloud to the agreed level of detail.
  • Quality assurance. The finished model is checked back against the point cloud. Anything outside the agreed tolerances is flagged and corrected, and the results are documented so you know exactly what the model can be relied on for.

What determines the cost of a scan to BIM project?

There is no single price per square foot that fits every building. Three factors drive the effort, and therefore the price.

A useful rule: define the decisions the model must support, then buy the smallest model that supports them. Paying for more detail than the use case requires is the most common way owners overspend.

  • Size and complexity. An open warehouse models quickly. A hospital with congested ceilings, dense mechanical rooms, and hundreds of small spaces takes far longer, even at the same floor area.
  • Level of detail. A model for space planning needs walls, doors, and rooms. A model for a mechanical retrofit needs ducts, pipes, and equipment, which multiplies modeling time. Standard definitions such as LOD 200 or LOD 300 give you and the provider a shared language for this decision.
  • Access. Occupied spaces, security escorts, locked rooms, and work restricted to nights or weekends all add capture days. Good access planning is the cheapest way to lower the quote.

What do you receive at the end?

Deliverables should be agreed in writing before anyone visits the site. A typical package includes four things.

Also ask how people without BIM software will use the results. Web viewers and PDF sets let facilities staff, brokers, and executives work with the model without buying licenses.

  • The BIM model, usually a Revit file plus an open IFC export so you are not locked to a single software vendor.
  • The registered point cloud, which stays valuable long after handover as a measurable record of the entire building.
  • 2D drawings extracted from the model, including floor plans, elevations, and sections that replace your outdated record set.
  • A quality assurance report describing how the model was verified against the point cloud and the tolerances it was modeled to.

How to prepare for a scan to BIM project

Good preparation shortens the schedule and lowers the price. Four steps cover most of it.

How long does a scan to BIM project take?

Site capture is usually measured in days, even for large buildings. Modeling and quality assurance take longer, typically a few weeks depending on size, complexity, and the level of detail. Ask your provider for a schedule split by stage so you can plan around the site work.

How accurate is a scan to BIM model?

The model is built directly on a laser scanned point cloud, so it reflects measured conditions rather than old drawings. Accuracy is governed by tolerances agreed before modeling starts, and the finished model is verified against the point cloud during quality assurance. The QA report documents that verification, so you know exactly what the model can be trusted for.

Do we need to close the building during scanning?

No. Laser scanning is quiet and does not disturb occupants, and technicians work around normal operations. Sensitive areas can be captured after hours or on weekends, which is settled during access planning.

What level of detail should we ask for?

It depends on the decisions the model must support. Space planning and leasing need only walls, doors, and room boundaries, while renovation design and mechanical work need structure and building systems. Define your use cases first, then let the provider recommend a level of detail, since buying more detail than you need is the most common source of overspend.
